About the role
The Coordinator, Communications will handle administrative duties and assist in supporting the series publicity team on day-to-day activities, as well as supporting the SVP of Communications for the Universal Studio Group division.
What you'll do
- Function as administrative liaison to departmental staff, external vendors, and consultants
- Answer telephones and perform administrative duties: calendar scheduling, booking travel, drafting itineraries, processing invoices, preparing expense reports, reconciling P-cards
- Maintain/update press contact database and additional internal lists
- Prepare internal and external distributions and correspondence
- Maintain/update press site, Media Village
- Help with the onboarding process for new Communications team members
- Assist with talent relations needs including booking travel, hair/make-up, drafting itineraries, internal and external gifting
- Maintain standards of strict confidentiality with respect to all matters and documents
- Maintain series team budget tracker
- Assist publicists with tracking press coverage and maintaining show press reports
- Maintain series team status document
- Assist publicists with show sheets including updating talent information and their representatives
- Work and facilitate press events including semi-annual press tours, award shows, specials, and events
- Develop and maintain positive relationships with talent, producers, PR agencies, agents, managers, production staff, and media and programming executives
Requirements
- 1+ years of public relations experience, including internships
- Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Bachelor's degree preferred
- Positive attitude with a passion and desire to learn entertainment publicity
- Ability to multitask and juggle multiple projects while remaining cool under pressure
- Detail-oriented and proactive
Schedule & pay
Hybrid — minimum four days per week in office. Salary range: $50,000–$60,000/yr. Eligible for medical, dental, vision insurance, 401(k), paid leave, and tuition reimbursement.
