About the Role
Under direction, performs highly complex administrative support duties in compliance with established policies, procedures, and requirements. Organizes, leads, and coordinates assigned office activities and provides technical administrative support for departmental communications, finance/budgeting, contracts, grant development/administration, purchasing, curriculum, and/or other areas as assigned.
This is a temporary substitute position on an as-needed basis. Schedule will vary as needed for coverage.
What You'll Do
- Provide highly complex administrative support; prepare and process sensitive, privileged, and/or confidential documents; maintain calendars and coordinate high-level meetings between district departments on behalf of the Dean or administrator
- Organize, lead, and coordinate office activities; perform advanced administrative work in support of multiple major administrative functions, operations, programs, and/or projects; serve as an advanced technical resource to others
- Prepare highly complex and detailed reports, letters, contracts, requisitions, statistical reports, correspondence, and other documents
- Greet and assist employees, students, and/or the public; research and address complaints and issues; interpret and explain specialized and complex information regarding established rules, regulations, policies, and procedures
- Maintain specialized information related to department programs and/or operations; maintain complex interrelated files; research internal and external data; prepare summary reports
- Coordinate and/or perform technical bookkeeping duties; monitor budgets; initiate appropriation, expenditure, and revenue transfers and budget revisions; compile, analyze, and calculate budget reports
- Prepare requisitions and orders; coordinate with external vendors and Purchasing staff for large purchases in accordance with College procurement policies
- Compile and assist with preparation of complex grant application information; monitor grant budgets and accounts
- May prepare and/or approve employee timesheets and payroll documents
- May provide work direction to student workers, lower-level employees, and/or temporary employees
Minimum Qualifications
- Associate's degree from an accredited college or university
- Five years of office administrative experience in a high-volume, high-traffic office, including at least one year providing support directly for a manager
Pay & Benefits
$31.28/hr. Position is offered contingent upon funding.
