The Executive Assistant serves as a trusted partner to senior leadership, providing high-level administrative and organizational support in a fast-paced, dynamic environment. This role is responsible for managing complex calendars, coordinating meetings, travel arrangements, communications, presentations, and other executive priorities while exercising the highest level of professionalism, confidentiality, integrity, and sound judgment. Beyond administrative responsibilities, success in this role is built on strong relationships, proactive problem-solving, and the ability to anticipate needs, prioritize competing demands, and navigate across multiple teams and stakeholders. As a key representative of the executive, the Executive Assistant must demonstrate exceptional interpersonal skills, diplomacy, resourcefulness, and flexibility while collaborating with partners throughout The Walt Disney Company and serving as a trusted liaison both internally and externally. Understanding the executive's business priorities, key constituents, and broader organizational landscape is essential to providing strategic support and helping drive overall effectiveness and success.
You will report to the Studio Executive-Design Environments. This is a Project Hire position without any guarantee of permanent placement.
What You'll Do
- Provide administrative support, including managing complex calendars, coordinating meetings, processing invoices and expenses, screening communications, and ensuring timely follow-through on key priorities and action items.
- Manage complex scheduling across multiple stakeholders, proactively prioritizing competing demands while anticipating conflicts and identifying solutions that maximize executive effectiveness.
- Coordinate and support executive meetings, presentations, and video conferences, including preparation of materials, technology setup, and logistics for both in-person and virtual engagements.
- Plan and execute domestic and international business travel, including detailed itineraries, meeting coordination, transportation, and real-time support, while proactively addressing changes in schedules, travel conditions, and time zones.
- Serve as a key liaison to senior leaders, executive support teams, and external partners, building strong relationships and ensuring seamless communication across the organization.
- Strategically manage executive calendars by balancing business priorities, meeting preparation, travel requirements, and dedicated time for planning, focus, and decision-making.
- Exercise sound judgment in managing executive communications, determining priorities, and directing inquiries with professionalism, discretion, and efficiency.
- Adapt quickly to changing priorities and emerging business needs, maintaining composure.
