About the Role & Studio
Disney Television Animation (DTVA) has over forty years of legacy as a top producer of kids & family entertainment. DTVA creates both long-form and short-form content spanning traditional 2D, rig-based 2D, CG (preschool and premium), and stop-motion.
The Production Department Secretary is the communication hub of a television series production — primarily responsible for scheduling meetings for show leadership and crew, preparing and executing expense reports and travel, show credits, partnering with the script department and story editor, organizing crew events, and purchasing snacks and supplies.
This is a fully onsite role in Glendale, CA. Applications valid until December 31, 2026.
What You'll Do
- Coordinate and schedule meetings for Executive Producers, Producer, and Line Producer
- Maintain production calendar
- Manage correspondence for Executive Producers via messages and email inquiries
- Complete travel authorizations and coordinate travel for production crew (domestic and international)
- Order supplies through SAP E-Source and approved vendors
- Suggest and organize team-building activities (crew potlucks, birthday celebrations, etc.)
- Point person for facilities; contact operations for crew needs
- Filing, photocopying, and distribution of materials as needed
- Compile, ensure accuracy, and distribute show credits
- Complete expense reports per DTVA procedures
- Partner with Script Coordinator on record memos and music lyrics approval routing
- Facilitate distribution of scripts at all key stages (Premise, Outlines, all Script versions, Pick Ups & ADR)
- Communicate with Casting Department to ensure pertinent materials are at recording sessions
- Perform all other applicable duties as assigned by Line Producer/Executive
Required Skills
- Ability to oversee multiple tasks and solve problems in a fast-paced environment
- Positive attitude with flexibility
- Excellent organizational, verbal, written, and e-social skills
- Mac or PC proficient
- Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Canva, Final Draft, Adobe Acrobat Pro, Adobe Photoshop, Airtable
- Knowledge of SAP and Concur
